Who should I contact?
The property management office is responsible for the housing company's day-to-day administration. Contact the property management office about maintenance charge payments, alteration notices, disturbances, loan matters and general meeting matters. The maintenance company is responsible for repairs, fault reports, move notifications, water leaks, name changes on doors and on-call matters.
Who takes care of our housing company's property maintenance?
You will find the property maintenance contact details on our resident pages and on your housing company's notice board. If needed, you can also contact our customer service.
Where do I submit a move notification?
A move notification should be submitted to your housing company's property maintenance company. You should also notify the Digital and Population Data Services Agency.

Where do I ask about available parking spaces or sauna slots?
Available parking spaces and sauna slots may be listed on our resident pages.
You can ask about available spaces or slots and make a booking by contacting our customer service, either by email at info@koivuisannointi.fi or by sending a message through the resident pages.
What should I do if a neighbour is constantly causing disturbance?
First, try to raise the matter with the neighbour directly. If their behaviour is threatening, or nothing changes despite your remark, ask the housing company's other residents whether they have found the neighbour's behaviour disturbing. Write down the time, nature and duration of the disturbance over several days and send these in writing to the property manager's email. This allows a warning to be issued to the person causing the disturbance, if the board so decides.
Where can I order a new key?
If you are a tenant, first agree on this with your landlord. The apartment's owner should notify the property management office, which will notify the locksmith that manages the keys.
When do I need to submit an alteration notice?
An alteration notice should be submitted whenever the apartment is renovated. Submitting an alteration notice means the renovation work done in the apartment appears on the property manager's certificate, which is especially important when selling.
How do I submit an alteration notice?

What does a loan share mean and when can I pay it off?
A loan share is the shareholder's share of the loans taken by the housing company. The loan share affects the size of the capital charge. If you are considering paying off your loan share, contact our accountant to ask about a possible date for the payoff. You can send an email about this: info@koivuisannointi.fi
A loan share calculation is charged according to the price list, plus any fees charged by the bank.
Where can I order a property manager's certificate?
You can order a property manager's certificate from our online shop. Other documents can also be ordered from our online shop.
The housing company has been transferred to the residential property information system. What should I do as a shareholder?
A shareholder has 10 years to convert their paper share certificate into electronic form with the National Land Survey of Finland. If the share certificate is held by a bank as loan collateral, the bank can handle the registration on the shareholder's behalf at the fees in its service price list. Where can I follow the invoices paid from the housing company's account?
On our resident pages, board members can follow the invoices paid from the housing company's account down to individual invoices. Choose ”Hallitus” (Board) from the left-hand menu and the invoice view opens for review. On the same page a board member can also see the available funds in the housing company's bank account.
Clicking the gear icon opens more detailed accounting reports.
Where do I find meeting minutes and the housing company's current contracts?
Board members can view meeting minutes, the housing company's contracts, project documents and other stored documents in the ”Tiedostot” (Files) section of the resident pages.
How can the housing company save money on copying costs?
Koivu Isännöinti aims to operate as environmentally responsibly as possible, and we encourage housing companies to reduce paper in their communications. Residents and shareholders can choose on the resident pages to receive announcements electronically. Shareholders can also choose to receive the general meeting invitation in electronic form. The choice is made on the resident pages by clicking your own name in the menu and selecting the message delivery settings you prefer. We do not charge the housing company for electronic announcements, so our clients save both money and nature.
Can the property manager be reached during their holiday?
Our property managers always have a substitute during their holiday who looks after that property manager's housing companies while they are away. The substitute's contact details are given on request, and we aim to inform the board in advance. We try to keep our property managers' holidays undisturbed so that they can properly recover and serve our clients well in the long run. We aim for open information transfer between the dedicated property manager and the substitute, so the substitute knows what is going on in the housing company.
